How to Plan a Family Reunion on a Budget

Here are some basic steps to get you started in your planning process.

  • Start early. You may be able to secure discounts on certain items or services by booking as an “early bird”.
  • Create a family Facebook page, so you can all exchange ideas and keep up-to-date in the planning process. 
  • Make a point of discussing the budget. It may be a sticky subject for some, but in the long run, it’s much better that everyone has a say in the process and can align expectations. 
  • Create a fundraiser. Ask each family member to contribute a predetermined sum of money towards deposits, etc. One caveat: be mindful of family members with fewer resources. Perhaps you can offer a monthly payment plan so as to be less of a financial burden. Make sure to detail each expenditure. 
  • Consider booking your destination in its “off-season”. Your group may be able to save a significant sum of money by going to the beach in the fall or winter or to a ski resort in the summer. This will require a bit of research, but it could pay off big for you.

Family reunions can last from one afternoon to 3 days, depending on the family group involved. A general rule of thumb is that the farther the participants have to travel, the longer the reunion is. 

Who is financially responsible for a family reunion?

As a rule, each family contributes a set amount based on a predetermined set of criteria, such as number and ages of family members. Once at the reunion site, each family should expect to pay for their own incidental expenses. 

Are we required to pay a deposit to ACU Hotel & Conference Center? If so, how much?

Yes, we require a 50% deposit on room rentals. 

Is parking available? How much is it?

Yes, parking is available to all attendees free of cost. 

Can we book a block of rooms at the hotel? Do we get a discount?

How to Organize a Class Reunion

This is probably trickier. Your former classmates could be all over the country or even the world. It’s likely you haven’t kept in close contact with them. But with some effort, you can still create a fabulous event!

If it’s at all possible, hire an event planner! These professionals have knowledge and resources behind them and handing it over to them takes a very time-consuming process off your hands. 

If it’s not feasible, don’t worry! With the below tips, you’ll be raising a glass to your high-school or college friends in no time!

  • Test the waters for interest and participation. There’s not much point in going to the trouble and expense of organizing a reunion just to get an underwhelming turnout. Turn to your classes Facebook page or reach out directly to individual class members and ask whether they are interested in attending a reunion and who is willing to volunteer their time to help. 
  • Form a committee. Find your most enthusiastic and committed classmates and ask them to join in. 
  • Choose a date. Everyone is busy. It will be a chore to find the right date that works well for the majority of your classmates. Get a survey out at least a year in advance, offering 3 or 4 choices of dates to get the process started and lock something down as soon as possible. 
  • Create a Facebook group/website to keep everyone informed. Designate a committee member to oversee it. 
  • Choose your venue with a critical eye towards cost, size, amenities, and availability of convenient accommodations. 
  • Start promoting your reunion by determining goals and timelines for your volunteers.
